Description

FUNCTION:

Provides all administrative duties as required for the Vice President for External Relations. Provides assistance with routine administrative details; transcribes/composes correspondence; maintains department records and procedures, including matters of highly sensitive and confidential nature. Assists in the coordination of stewardship activities. Functions in an office manager capacity.

RESPONSIBILITIES:

  • Provide all required administrative services for the Vice President and members of the
    ER staff
  • Work with the Vice President and any designees on all fundraising campaigns
  • Coordination of campaign events--breakfasts, luncheons, etc.
  • Assists in the coordination of stewardship activities
  • Reporting/tracking of campaigns as required
  • Provide management of all general and donor files for ER
  • Compose and/or edit reports, proposals, and correspondence
  • Proof-read reports, proposals, and correspondence for grammatical, arithmetical, or typographical errors
  • Compose or process the handling of acknowledgement letters
  • Maintain records of accounts payable and forward to business office for payment
  • Order supplies for development department
  • Receive and distribute all incoming donations for Brenau University
  • Coordinate internal ER staff functions
  • Maintain vacation and sick day records for ER personnel & forward to HR
  • Provide back-up, if necessary, for the Walters House front desk
  • Supervise student workers
  • Perform all other duties as assigned by the Vice President


KNOWLEDGE & JOB SKILLS:

  • Excellent writing and grammatical skills
  • Possess good command of language and communication skills
  • Proficiency in computer software/word processing and accounting packages; Raiser’s Edge
  • Professional phone etiquette
  • Understanding of fund raising
  • Good client/donor relations skills
  • Organizational and time management skills
  • Ability to prioritize duties/assignments
  • Events planning and coordination
  • Supervisory experience

 

JUDGMENTS:

Must maintain confidentiality. Must help cultivate positive donor relationships.


JOB REQUIREMENTS

  1. Education: Two years college required, degree preferred.
  2. Experience: Must have a minimum of two years experience as an executive assistant.
  3. Personal Qualities: Maintain professional appearance and attitude. Be confidential. Good writing and oral skills. Good interpersonal skills.
  4. Supervisory Responsibilities: Work study students
  5. Essential Functions:
