Description

Minimum Qualifications:

  • College degree preferred; at least two years of experience in an office setting.
  • Must be computer literate to include Microsoft Office Suite and Google applications.
  • Ability to follow oral and written instructions.
  • Knowledge of standard office equipment.
  • High level of organizational skills.
  • Possess professional demeanor and appearance.


Duties and Responsibilities:

  • Answer, screen, and transfer inbound phone calls or emails.
  • Receive and direct visitors and patients.
  • Maintain professional and confidential relationship with students.
  • Provide secretarial and administrative support to all faculty.
  • Prepare and modify documents including correspondence, reports, memos, emails, and spreadsheets.
  • General clerical duties including photocopying, scanning, faxing, and mailing.
  • Retrieve, sort, and deliver incoming mail and parcels from campus post office.
  • Stock classrooms and laboratories with standard instructional supplies.
  • Ensure public rooms and hallways are clean and orderly.
  • Maintain electronic and hard copy filing system.
  • Handle requests for information; resolve administrative problems and inquiries
  • Must maintain confidentiality in accordance with HIPAA and FERPA guidelines.
  • Schedule and coordinate meetings, workshops, seminars, retreats, and special events.
  • Record, maintain, and distribute meeting minutes from faculty/staff meetings and retreats.
  • Manage the department budget; create and issue purchase orders.
  • Maintain inventories of office, laboratory, and breakroom supplies.
  • Manage order process of scrubs and polo shirts for new students at orientation.
  • Prepare program information packets and new student packets.
  • Process all accounts payable requests and travel/expense reports.
  • Reconcile department credit card monthly.
  • Liaison with maintenance, IT, custodial services, event services, and catering.
  • Process room reservation requests for department spaces.
  • Update textbook adoption list each semester and submit to campus bookstore.
  • Order desk copies of all new textbook adoptions or new editions for applicable faculty.
  • Prepares, submits, and updates class schedule with Registrar’s office for each semester.
  • Coordinate applications for employment for the department; partnering with human resources.
  • Provide coverage for other staff positions during absences to include lunch breaks.
  • Support college and university events when requested; includes evening and weekend dates.
  • Maintain and update department webpages and Facebook
  • Other duties as assigned.

 

Environmental and Working Conditions:
Normal environment found in an educational setting.

Physical Demands and Aptitudes:
Able to lift 10 pounds on a regular basis and 35 pounds maximum, periodically. Even though the weight lifted may be a small amount, a job is in this category when it requires walking or standing to a significant degree, as well as pushing and pulling of arm and/or leg controls. Job requires the ability to reach, handle, finger, feel, talk, hear, see, squat, and kneel.


Work Hours:
37.5 hours per week. Generally, Monday-Friday from 8:30 am to 5:00 pm. Hours may be extended to meet the needs of the department.  

Special Requirements:
This position requires that the employee hold and continue to maintain a favorable criminal history background. In addition, all employees who operate university vehicles are subject to random drug-screenings.
